OnSite Calculator — Privacy Policy

OnSite Club Inc. ("we", "us", or "our") operates the OnSite Calculator mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and protect your information.

1. Information We Collect

Account Information (only if you sign up)

• Email address, first and last name
• Trade/profession, birthday, and gender (all optional)

Voice Data

• Audio is processed in real-time to convert speech to text
• Audio is NOT stored on our servers after processing
• Audio is sent to OpenAI (United States) for transcription and interpretation — an international transfer of data; if you do not consent to this transfer, do not use the voice feature (the typed calculator sends nothing to OpenAI)
• Transcribed text is stored only if you opt in to "help improve voice recognition"

Usage Data

• Calculations performed (saved to our servers when you are signed in)
• App usage patterns
• Device information (OS version, device model) and an anonymous device identifier (random UUID, used for rate limiting)
• IP address (for rate limiting and security)
• Error logs

2. How We Use Your Information

• Provide the App's functionality
• Process voice commands
• Improve our services

3. Information Sharing

We share data with:

• OpenAI — Voice transcription and interpretation (United States; audio not retained by us)
• Supabase — Authentication and database (Canadian-hosted region where available)
• Vercel — App hosting

We do NOT sell your personal information.

4. Your Rights

• Withdraw consent anytime (Privacy Dashboard in the app menu)
• Request deletion of your data via the in-app Privacy Dashboard or privacy@onsiteclub.ca

5. Data Security

• Encryption in transit (HTTPS/TLS)
• Encryption at rest

6. Data Retention

• Calculation history: stored locally on your device, and on our servers for 180 days when you are signed in (or until you delete it)
• Voice transcriptions: 180 days if consented, or until you delete them
• Voice audio: never retained after processing
• App telemetry and error logs: de-identified after 30 days (no longer linked to you)
• Anonymized, aggregated data (such as how measurements are commonly phrased): retained indefinitely to improve the App
• Consent records: 7 years (legal requirement)

7. Children's Privacy

This App is not intended for users under 16 years of age. We do not knowingly collect personal data from children under 16.
